Making changes during the year

Making a change to your health benefits during the calendar year requires you to have what’s called a “qualifying life event.”

If you don’t have a qualifying life event, you cannot change your health benefits until the next Open Enrollment period (per IRS regulations).

If you have a qualifying life event during the year, you can update your elections in Workday:

  • Within 31 days of the event date for most events
  • Within 60 days of the birth or adoption of a child

Defining qualifying life events

  • Marriage or divorce
  • Birth, legal adoption of a child, or placement of a child with you for legal adoption
  • Loss of other coverage
  • Gain of other coverage
  • Change in child custody
  • A covered dependent child turns age 26
  • Death of your spouse, domestic partner, or dependent child

  • Add dependents
  • Drop dependents
  • Enroll in, change, or cancel your coverage in a manner consistent with your life event

When adding a dependent, you’ll need to provide supporting documentation, such as a hospital birth record or marriage certificate, which is subject to approval by Illumina.

How to update your elections

You can update your benefit elections in Workday within 31 days of a qualifying life event (60 days for birth or adoption). See this ServiceNow article for specific instructions. 

When your elections go into effect

Your updated elections go into effect retroactive to the event date. Once you make the changes in Workday, please allow 7–10 days for updates to show up in the systems of the plan providers.

Required information

You will need to provide the following information when you enroll a new dependent in benefits using Workday:

  • Legal first and last name
  • Mailing address if different from your own
  • Date of birth
  • Social Security Number (SSN)

If you do not yet have the dependent’s SSN, you must return to Workday to add it when you receive it. Dependent SSNs are required under federal law for CMS reporting purposes.

Update anytime — no life event needed

You can make these changes anytime during the year:

  • Adjust your Health Savings Account (HSA) contributions in Workday
  • Add or change your life insurance beneficiaries in Workday
  • Update your 401(k) contributions, investments, and beneficiaries on 401.com
